    Job Title: Accounting Manager / Office Assistant

    General Function:
    As an Accounting Manager / Office Assistant, you will be responsible for general administrative and accounting functions and activities of the office. You will be expected to maintain a high level of customer service and professionalism while on the job.

    Schedule / Hours:
    Monday through Friday, Regular time, 30hrs a week up to 40 during our busy season.
    Rate of pay depends upon level of experience.

    Supervisory Responsibilities:

    None.
    Primary ACCOUNTING (Receivable and Payable) Duties and Responsibilities:
    Receivable:

    Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.

    Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.

    Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.

    Assists with accounting records and ledgers by reconciling monthly statements and transactions.

    Records entry of, verifies documentation for, and distributes petty cash.

    Calculates and reports sales tax based on paid invoices.

    Other related duties as assigned.
    Payable:

    Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.

    Creates invoices according to company practices; submits invoices to customers.

    Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.

    Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.

    Creates reports regarding the current status of customer accounts as requested.

    Research customer discrepancies and past-due amounts with the assistance of the Office Manager and business owners.

    Collaborates with the Office Manager to reconcile accounts receivable on a monthly/ bimonthly basis.

    Assists in generating monthly billing statements based on the general ledger.

    Assists Office Manager in reconciling revenue accounts each month.

    Copies, files, and retrieves materials for accounts receivable as needed.

    Relays changes of information to appropriate employees.

    Performs other related duties as assigned.
    Primary OFFICE Duties and Responsibilities:

    Provides clerical support to assist Office Manager with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.

    Oversees petty cash fund.

    Communicates office supplies needs to Office Manager. Assist with keeping inventory of office supplies.

    Maintains office files; implements an efficient system for other staff to access files and records.

    Performs other related duties as assigned.

    Must be reliable and extremely trustworthy.

    Must be proficient in Microsoft Office Suite or related programs.

    Must be able to learn other accounting software systems.

    Education and Experience:

    Valid Driver’s License Required.

    High school diploma required; Business or Accounting degree preferred.

    Certified Accounts Payable Professional (CAPP) certification preferred.

    QuickBooks knowledge and experience. * 2-5years preferred.

    Proficient in Microsoft Office Suite.

    3 -7 years’ experience or related preferred.

    Basic understanding of lawn care practices and procedures. *Not required
    Physical Requirements:

    Must be able to perform the following physical activities: standing, walking, balancing, stooping, reaching, bending, climbing, kneeling, pushing and pulling, talking, hearing, and repetitive motions.

    Prolonged periods sitting at a desk and working on a computer.

    Must be able to lift to 15 pounds at times.
